  4. Undeposited Funds only grows. Payments are being recorded but never grouped into deposits that match the bank, which makes revenue timing unreliable.
  5. Receivables or payables are negative. Usually payments applied without matching invoices or bills, or applied to the wrong ones.
  6. Prior-period reports change.Run last quarter's profit and loss twice a month apart. Different numbers mean closed periods are still being edited.

Cleanup is project work with a defined start, scope, and end. It generally includes:

  • Historical categorization. Transactions in the periods in scope reviewed and assigned properly rather than left where an automated rule put them.
  • Reconciliation against statements. Every bank, credit card, loan, and merchant account, period by period.
  • Discrepancy resolution. Differences between books and bank identified and explained rather than absorbed.
  • Chart of accounts cleanup. Duplicate, unused, and misleading accounts consolidated so reports read clearly.
  • Prior-period corrections within the agreed scope.

What to have ready
